How to cut no-shows at your clinic with WhatsApp reminders

An appointment nobody turns up to is more than an empty slot: it is a practitioner with nothing to do, a room going unused, and a patient on the waiting list who would gladly have taken that time. In a clinic with a full schedule, a few no-shows a week add up to a real slice of the takings.

Why the usual reminder does not work

A call from reception works, but it eats your team’s time and depends on the patient picking up. Texts barely get read. Email, less. WhatsApp is where the patient already is.

When to send the reminder

  • 24 hours before: enough notice for the patient to rearrange their day, and close enough that they will not forget again.
  • 2 hours before, and only for long treatments or first visits.

More than two reminders for one appointment usually does more harm than good.

What it should say

A reminder worth sending carries the day, the time, the practitioner, and a clear way out: the patient can confirm, move or cancel by replying to the same message. If they have to ring you to change the appointment, plenty of them simply will not turn up.

What to measure

Measure the no-show rate before and after, the share of appointments moved because of the reminder, and how many of the freed slots get taken from the waiting list. That last number is what turns a reminder into money back in the till.
